For businesses
Getting started
- Start a free trial with your name, business name, work email and a password. The trial lasts 14 days and doesn't need a card.
- You land on your Dashboard. The Get your workspace ready checklist walks you through the first steps: add a customer, create a job, connect Stripe, and invite your team.
- Before the trial ends, choose a plan under Plan & billing. If you don't, your workspace becomes read-only (customers can still view and pay invoices), and it is deleted 90 days after the trial ends. We email the owner 30 and 7 days before.
Press ? anywhere in the app to see keyboard shortcuts, and Ctrl K to search customers, jobs and invoices.
Connect Stripe to get paid online
Customers pay your invoices by card through your own Stripe account. The money goes straight to you; Dronrly never holds it and takes no cut. Only owners and managers can do this.
Open Settings → Payments. If you see a Connect with Stripe button, follow Connect with Stripe below. If you see a form asking for a Secret key, follow Older setup: paste a secret key.
Connect with Stripe (recommended)
- In Dronrly, go to Settings → Payments and click Connect with Stripe.
- Sign in to Stripe, or create an account and complete Stripe's activation (business details and the bank account for payouts).
- Approve Dronrly. Stripe sends you back to Settings → Payments, and the badge shows Connected with your Stripe account ID.
There are no keys or webhooks to copy. Dronrly stores only your Stripe account ID, not your keys. Payments are confirmed automatically.
- Stop online payments: click Disconnect in Settings → Payments. This also removes Dronrly's access in Stripe.
- Revoke access from Stripe: you can remove Dronrly at any time from your Stripe dashboard's connected apps settings. Dronrly then marks Stripe as disconnected and alerts your owners and managers. Customers can't pay online until you connect again.
- One Stripe account per workspace: if your Stripe account is already connected to another Dronrly workspace, disconnect it there first.
Switching from a pasted key
If you set up payments by pasting a secret key, Settings → Payments shows a Pasted key badge and a Connect with Stripe button. Your payments keep working until you switch.
- Click Connect with Stripe and approve Dronrly. Use the same Stripe account so payment pages that are already open keep working. Dronrly deletes your saved keys as soon as you're connected.
- In Stripe, open Developers → Webhooks and delete your old Dronrly endpoint (the one ending in
/webhooks/stripe/b/and a number). It isn't needed anymore. - In Stripe, open Developers → API keys and roll the secret key you gave Dronrly, or delete it if it was a restricted key made only for Dronrly.
Older setup: paste a secret key
Use this only if Settings → Payments asks for a Secret key instead of showing Connect with Stripe.
- If you don't have one, create an account at stripe.com and complete Stripe's activation (business details and the bank account for payouts).
- In Stripe, open Developers → API keys and copy your Secret key (starts with
sk_live_).
Prefer a restricted key (rk_live_)? Give it Write access to Checkout Sessions, and Read access to Balance, Balance transactions, Charges, Customers, Refunds and Payouts. Card payments only need Checkout Sessions and Balance; the rest power the Stripe figures in Analytics. - In Dronrly, go to Settings → Payments, paste the key into Secret key, and optionally paste your Publishable key (
pk_live_). Click Connect Stripe. Dronrly checks the key with Stripe and the badge changes to Connected. - Recommended: add a webhook so payments are confirmed even if a customer closes the page early.
- Copy the Webhook URL shown under Settings → Payments.
- In Stripe, open Developers → Webhooks, click Add endpoint, paste the URL and select the
checkout.session.completedandcheckout.session.async_payment_succeededevents. - Copy the endpoint's Signing secret (starts with
whsec_), paste it into Webhook signing secret in Dronrly, and click Update keys. Leave Secret key blank to keep the key you already saved.
Your keys are encrypted and never shown again. To change them, paste new ones and click Update keys; to stop online payments, click Disconnect.
Testing first with a pasted key? Use your Stripe test keys (sk_test_) and test card 4242 4242 4242 4242 with any future date and CVC. Switch to live keys before sending real invoices.
However you connect, card payments, fees and payouts appear in your Stripe dashboard under Transactions and Balances.
Customers
- Add a customer: Customers → Add customer. Name is required; add an email so they can receive invoices and portal access.
- Invite them to the portal: open the customer and click Invite to portal. They get an email to set a password. The customer page shows Invitation pending until they do, and you can Resend invitation.
- Each customer page shows their contact details, private notes, jobs, invoices and balance.
- Archive customers you no longer work with. Their jobs and invoices are kept, their portal access ends, and you can restore them anytime.
- Revoke portal access for a contact who left: they're signed out everywhere and pending links stop working. Changing a customer's email does the same for the old address.
- Privacy requests: from the customer's ⋯ menu, Export all their data downloads a ZIP with everything held about them, and Erase customer deletes their messages, files, quotes and login and anonymizes the rest (invoice amounts stay for your tax records).
- Download your customer list as a spreadsheet with Export. Customers and the customer and job exports are for owners and managers only. Pilots can see the customer details shown on quotes and invoices, but not the customer list.
Jobs
A job tracks one piece of work from request to delivery. Jobs come in two ways: you create one (New job, or press J), or a customer requests one from their portal.
Each job moves through these stages, which the customer sees as a progress tracker:
- Requested — “We received your request and will review it shortly.”
- Quoted — “Your quote is ready. Review and accept it, and we'll get your flight on the calendar.”
- Scheduled — “Your flight is on the calendar.”
- In flight — “Our pilot is on site capturing your footage.”
- Processing — “We're editing and processing your deliverables.”
- Delivered — “Your deliverables are ready to download. Thanks for flying with us!”
- Canceled — “This job was canceled.”
On a job's page you can:
- Advance the status with one click, or pick another from the status menu. Scheduling needs a flight time; delivered and canceled jobs can be reopened one step. Changes notify the customer.
- Schedule the flight in 15-minute steps and assign a pilot. If the pilot is already booked then, Dronrly warns you and asks before double-booking. When you move a flight, pick a reason (weather, customer request…) and the customer is told.
- Put a flight on hold for weather, airspace, equipment or site access. It comes off the calendar and the customer gets a note; reschedule when you're ready.
- Flight card: map pin with directions (use your phone's location or paste a Google/Apple Maps link), site contact, airspace class, LAANC status and authorization number.
- Pre-flight checklist: tick off your checklist on every job (edit it under Settings → Operations). Each tick records who and when.
- Repeat a job weekly, every two weeks, monthly or quarterly. The next job is created when this one is delivered.
- Post to the activity feed. Choose Update to customer (they see it in the portal, or get it by email if they have no portal) or Internal note (your team only). Ctrl Enter sends.
- Upload files and deliverables: photos, video, PDFs, orthomosaics, point clouds and ZIPs, up to 50.0 GB each. Big files upload in pieces and resume if the connection drops. New uploads are visible to the customer; use a file's menu to Hide from customer for internal files. Download all gets every file as one ZIP. Once a job is delivered, the customer can download each file for the number of days you set under Settings → Operations (7–365, 30 by default); after that the file is deleted to save storage, so keep your own originals.
- Send a quote or create an invoice straight from the job.
The Jobs page switches between a Board view by stage and a List view with filters. Export downloads a spreadsheet (owners and managers). Pilots see the jobs assigned to them plus open jobs nobody has taken yet, and can Take this job to assign it to themselves. Owners and managers are notified.
Quotes
- Create: New quote on a job, a customer, or Quotes. Add line items, a discount, terms and how long it's valid (30 days by default). Quotes are totaled before tax. If you charge sales tax, the quote tells the customer it's added on the invoice, and their button reads Accept $500.00 + tax.
- Send: the customer gets an email with a link. They can review it in their portal or without signing in, then accept by typing their name, or decline with a reason.
- Accepted: you're emailed, the job is marked ready to schedule, and Create invoice turns the quote into a draft invoice with the same lines and discount, plus tax at your default rate. Quotes accepted before quotes became pre-tax keep the tax they were accepted with.
Schedule
The Schedule is a monthly calendar of every booked flight, shown in your business's time zone. Needs scheduling lists open jobs without a flight time, including the customer's preferred date. Hover a day and click + to create a job on that date.
Invoices & payments
- Create: Invoices → New invoice, or Create invoice on a job. Add line items (or Add a service to use your saved prices), a discount, notes and due date. Tax is added on the invoice at your default rate, and payment terms default from Settings → Invoicing.
- Send: click Send invoice. The customer gets an email with a secure payment link. No login needed to pay. You can also Copy payment link to share it yourself.
- Get paid: card payments through Stripe mark the invoice paid automatically. For cash, check or bank transfer, click Record payment. Partial payments are supported.
- Follow up: overdue invoices are flagged on the dashboard, and Dronrly emails the customer automatic reminders 1, 7 and 14 days after the due date (turn this off under Settings → Operations). Send reminder emails them again any time.
- Refunds: if a customer pays by card after an invoice was voided or paid, the payment is still recorded and flagged Refund due, and you're emailed. Refund it from your Stripe dashboard.
Other actions: Edit (drafts, or sent invoices with no payments yet), Duplicate, Print or save as PDF, Void (the customer can no longer pay it), and Delete draft.
Team & roles
Invite teammates from Team → Invite teammate. They get an email to set a password. Your plan sets how many seats you have.
- Owner: everything, including billing and managing other owners.
- Manager: everything except managing owners, including team, settings and billing.
- Pilot: the jobs assigned to them, plus open unassigned jobs they can take (read-only until they do). On their jobs: flight card, checklist, updates, files and status (not cancel). Pilots can also see and work on all of the business's quotes and invoices: create, send, void, record payments and export invoices. No customer list, customer or job exports, team, settings, billing or audit log.
Team members get email alerts for new requests, customer messages, quote answers and payments (pilots only for their own jobs). Each person can turn emails off under Account, where pilots also record their Part 107 certificate and recurrent training date for reminders.
The Audit log (owners and managers) shows who changed what, kept for 12 months.
Analytics (owners and managers) shows what you collected and invoiced, what's outstanding, how you got paid, your top customers and services, your quote win rate and job turnaround, for the last 30 days, 90 days or 12 months. With Stripe connected it also shows your Stripe balance available to pay out, payouts, fees and refunds.
Owners and managers can change a teammate's role, Resend invitation, or Deactivate someone, which signs them out and removes access immediately. Deactivated teammates can be reactivated later.
Business settings
Owners and managers can edit these under Settings:
- Profile: business name, contact email (customer replies go here), phone, website, address and time zone.
- Services: the work you offer, with an optional starting price. Customers choose from these when requesting work, and prices prefill invoices. Set a service to Hidden to stop offering it without deleting it.
- Invoicing: invoice number prefix (existing invoices keep their numbers), default tax rate (added on invoices; quotes are pre-tax), payment terms in days, and a footer printed on every invoice.
- Operations: how long customers can download delivered files, automatic overdue reminders, default quote terms, your pre-flight checklist, and your insurance expiry for reminders.
- Payments: your Stripe connection. See Connect Stripe.
Plan & billing
Your Dronrly subscription is billed monthly or yearly (two months free) through Stripe. Every plan includes every feature; plans differ only by team seats. Owners and managers manage it under Plan & billing.
- Starter: $30.00/month or $300.00/year, 1 team member.
- Pro: $45.00/month or $450.00/year, 10 team members.
- Max: $60.00/month or $600.00/year, 20 team members.
- Subscribe or switch plans by clicking the plan's button and completing Stripe checkout.
- Update your card, download receipts or cancel with Manage billing & invoices. Cancellation takes effect at the end of the billing period.
- If a payment fails, the workspace is marked Past due and Stripe retries the card. You keep full access for 7 days from the failed payment; after that the workspace is read-only until it's paid.
- If you cancel, the workspace becomes read-only at the end of the billing period and is deleted 90 days after that. Export anything you need first.
For customers
If a drone business uses Dronrly, you get a private portal to request work, follow progress, download your files and pay invoices.
Getting into your portal
- Look for an invitation email from the business and click the link to set your password. The link is personal, so don't forward it.
- After that, sign in any time at dronrly.com/login with your email and password.
- Forgot your password? Use Forgot password on the sign-in page and we'll email you a reset link.
Don't have an invitation? Ask the business to invite you. You can still pay any invoice they email you without an account.
Requesting work
In the portal, click Request a service. Choose a service, give it a short title, add where and when you'd like it done and any details, then submit. Tick It's urgent if it can't wait. The business is notified and the request appears under My Requests as Requested.
Following your job
- Home shows jobs in progress, the latest updates, files ready to download and any balance due.
- Open a request under My Requests to see its progress tracker (Requested → Quoted → Scheduled → In flight → Processing → Delivered), the flight date, and the scope.
- Messages & updates: read updates from the business and reply with Send. They're notified of your message.
- Quotes: review a quote and accept it (type your name) or decline it, from the job page or the link in your email.
- Your files: download photos, video, maps and other deliverables once the job is delivered, one by one or all at once. Files stay available for a period the business sets (usually 30 days) and are then removed, so save copies of anything you want to keep.
The bell icon shows your notifications, such as status changes, new messages and new invoices.
Paying invoices
- Open Invoices in the portal, or click the link in your invoice email.
- Click Pay. You're taken to a secure Stripe checkout page to pay by card. Your card details go to Stripe, never to Dronrly or the business.
- After paying you return to the invoice, which shows Paid. Use Print / PDF to keep a copy.
If there's no Pay button, the business hasn't turned on online payments. Contact them directly to pay another way.
For everyone
Your account
Click your name at the bottom of the sidebar (on phones, open the menu first) and choose Account settings.
- Profile: change your name, phone and (for team members) job title, then click Save profile. To change your email address, contact support.
- Password: enter your current password and a new one (at least 10 characters), then Change password. This signs you out on your other devices.
- Where you're signed in: see each device and when it was last active. Click Sign out other devices if you've used a shared computer or think someone else has access.
- Notifications: in the same menu, see everything that's happened on your jobs and invoices, and mark it all read.
- Dark mode: toggle it with the moon/sun button.
